Terms and Conditions

TERMS & CONDITIONS

 1. INTRODUCTION


These Terms & Conditions apply to all travel services booked through International Tours BI 

The person making a booking is referred to as the Client.


By making a booking or paying any amount towards a booking, you confirm that you have read and accepted these Terms & Conditions.


These Terms & Conditions should be read together with your booking confirmation, invoice, itinerary and any other documents provided to you.


2. OUR SERVICES

We may arrange or sell travel services including:

  • Hotel and accommodation bookings
  • Tourist tours and holiday packages
  • Airport transfers
  • Transportation
  • Excursions and sightseeing
  • Cruise bookings
  • Visa application assistance
  • Other travel-related services.

The services included in your booking will be confirmed in your booking confirmation or invoice.


3. BOOKING AND CONFIRMATION

3.1. A booking request does not automatically guarantee availability.

3.2. A booking becomes confirmed when the Agency has received the required payment and issued written confirmation, subject to the terms applicable to the particular travel service.

3.3. The Client must carefully check all booking documents immediately after receiving them.

3.4. Any error in the Client's name, date of birth, passport details, travel dates or other information must be reported to us immediately.

3.5. Once a booking has been confirmed, amendments may incur additional charges.


4. PRICES

4.1. The price of your travel service will be confirmed at the time of booking.

4.2. Prices may vary before confirmation due to availability, exchange-rate movements, airline or supplier pricing, taxes, government charges or other applicable costs.

4.3. Once a booking is confirmed, any price changes will be dealt with in accordance with the terms applicable to that booking and applicable law.

4.4. Unless expressly stated as included, the Client is responsible for personal expenses, visa fees, travel insurance, excess baggage, airport charges, tourist taxes, meals and other additional expenses.


5. PAYMENT TERMS

5.1. The payment required at the time of booking will be stated on your invoice or booking confirmation.

5.2. For tour packages where a deposit is required, the standard advance payment is 50% of the total tour package price, unless otherwise agreed in writing.

5.3. The remaining balance must be paid by the due date stated on the invoice or booking confirmation.

5.4. Failure to pay the balance by the due date may result in cancellation of the booking, subject to applicable law and supplier terms.

5.5. The Client is responsible for ensuring that payments are made on time.


6. FLIGHTS

6.1. The Agency cannot be responsible for an airline flight ticket

6.2. Flight bookings are subject to the airline's conditions of carriage and fare rules.

6.3. Airlines may change flight times, schedules, routes or other operational arrangements.

6.4. The Client must comply with the airline's check-in, baggage and travel-document requirements.

6.5. The Agency is not responsible for losses resulting from a client's failure to comply with the carrier's requirements 


7. HOTEL AND ACCOMMODATION BOOKINGS

7.1. Hotel bookings are subject to the hotel's booking conditions.

7.2. Room type, facilities and services will be as stated in the booking confirmation.

7.3. Special requests, including room location, bed configuration, adjoining rooms, views or specific floors, are subject to availability unless expressly guaranteed in writing.

7.4. Hotels may require a security deposit, tourist tax or other payment directly from the Client.


8. TOUR PACKAGES

8.1. Where the Agency arranges a package consisting of two or more different types of travel services, the booking may be subject to applicable package-travel legislation.

8.2. Where the Agency is acting only as an agent for another tour operator or organiser, the terms and conditions of that organiser will also apply.

8.3. The Client will be informed where another company is the organiser or principal supplier of the travel arrangements.

8.4. Where applicable law gives the Client specific rights relating to package travel, those rights will apply.


9. VISA AND IMMIGRATION SERVICES

9.1. Where visa assistance is provided, the Agency may assist with the preparation, submission or administration of visa applications.

9.2. Visa approval is not guaranteed.

9.3. The decision to grant or refuse a visa is made solely by the relevant embassy, consulate, immigration authority or government department.

9.4. The Agency cannot guarantee the outcome or processing time of a visa application.

9.5. The Client is responsible for providing genuine, accurate and complete information and documentation.

9.6. The Agency is not responsible for a visa refusal resulting from inaccurate information, missing documents, the Client's personal circumstances, immigration history, financial circumstances or a decision of the relevant authority.


10. VISA REFUSAL – TOUR PACKAGE REFUND

10.1. Where a Client has booked a tour package and the Client's visa application is officially refused, the Client may request a refund of the eligible amount paid towards the tour package, subject to these Terms & Conditions, supplier terms and applicable law.

10.2. The Client must provide the Agency with the official written visa refusal notice.

10.3. Where an eligible refund is due, a £50 service and administration charge will be deducted.

Visa Refusal Administration Charge: £50

10.4. This charge covers administrative work and services already provided by the Agency in relation to the booking.

10.5. Amounts already paid to hotels, tour operators, transport companies or other third-party suppliers may be subject to their own cancellation and refund conditions.

10.6. Any amount that is legally or contractually non-refundable may be excluded from the refund where permitted by applicable law.

10.7. The £50 charge does not replace or override any mandatory statutory refund rights.


11. VISA DELAYS

11.1. A visa processing delay is not considered the same as a visa refusal.

11.2. If the Client's visa has not been issued by the planned travel date, the Client should contact the Agency immediately.

11.3. Any change, cancellation or refund will be subject to the applicable booking conditions, supplier terms and applicable law.


12. PASSPORTS AND TRAVEL DOCUMENTS

12.1. The Client is responsible for ensuring that their passport is valid for the entire journey and meets the entry requirements of the destination.

12.2. The Client must ensure that all names and personal details supplied to the Agency are correct and match the relevant travel documents.

12.3. The Client is responsible for obtaining all required visas, entry permits, travel authorisations and other travel documents unless the Agency has expressly agreed to provide a particular service.

12.4. The Agency is not responsible for a Client being refused boarding or entry because of inadequate or incorrect travel documentation, except where the Agency is legally responsible.


13. TRAVEL INSURANCE

13.1. We strongly recommend that every Client purchases suitable travel insurance before travelling.

13.2. Travel insurance should provide appropriate cover for medical expenses, cancellation, curtailment, baggage, delays and other risks relevant to the journey.

13.3. The Client is responsible for checking the policy and ensuring that it provides adequate cover.

13.4. The Agency is not responsible for claims under an insurance policy.


14. CANCELLATION BY THE CLIENT

14.1. Cancellation requests must be submitted to the Agency in writing.

14.2. Cancellation charges may apply depending on the travel service booked and the applicable supplier terms.

14.3. Hotel reservations, tours and other services may be fully or partially non-refundable.

14.4. The Agency will advise the Client of applicable cancellation charges where reasonably practicable.

14.5. Any statutory cancellation or termination rights available to the Client will continue to apply.


15. CHANGES TO A BOOKING

15.1. Requests to change a booking must be made in writing.

15.2. Changes may include:

  • Passenger name
  • Travel dates
  • Flight
  • Hotel
  • Destination
  • Tour itinerary
  • Passenger numbers or
  • Other booked services.

15.3. Changes are subject to availability and may incur amendment fees, supplier charges, fare differences and administrative costs where permitted by law.


16. CANCELLATION OR CHANGES BY SUPPLIERS

Airlines, hotels, tour operators and other suppliers may cancel or change their services.

Where this happens, the Agency will communicate relevant information to the Client and assist with available options in accordance with the applicable supplier terms and applicable law.


17. CHANGES OR CANCELLATION BY THE AGENCY

17.1. The Agency may need to make changes to travel arrangements in circumstances permitted by the applicable booking terms or law.

17.2. Where a significant change or cancellation gives the Client a legal right to an alternative arrangement, refund or other remedy, the Agency will provide the applicable option.


18. EVENTS OUTSIDE OUR CONTROL

The Agency is not responsible to the extent permitted by law, for circumstances outside its reasonable control, including:

  • Severe weather
  • Natural disasters
  • War
  • Terrorism
  • Civil unrest
  • Government restrictions
  • Border closures
  • Strikes
  • Airport closures
  • Major transport disruption
  • Epidemics or pandemics or
  • Other exceptional and unavoidable circumstances.

Where applicable law provides specific rights or remedies, those rights will continue to apply.


19. CLIENT RESPONSIBILITIES

The Client agrees to:

19.1. Provide accurate and complete information.

19.2. Pay all amounts by the applicable deadlines.

19.3. Check booking confirmations and travel documents.

19.4. Obtain required travel documents.

19.5. Comply with airline, hotel, tour operator and local rules.

19.6. Behave responsibly and respectfully during travel.

19.7. Follow applicable laws and safety instructions.


20. SPECIAL REQUIREMENTS

20.1. Clients should inform the Agency of any special requirements at the time of booking.

20.2. This may include mobility assistance, accessibility requirements, dietary requirements or medical-related travel needs.

20.3. Special requests are subject to availability unless specifically confirmed in writing.


21. COMPLAINTS

21.1. If a problem occurs during travel, the Client should notify the relevant supplier, tour representative or the Agency as soon as reasonably possible.

21.2. The Client should give the Agency and/or relevant supplier a reasonable opportunity to investigate and resolve the problem.

21.3. If the matter remains unresolved, the Client should submit a written complaint after the trip with supporting evidence where available.

21.4. Complaints will be reviewed in accordance with the applicable booking terms and law.


22. PERSONAL DATA

22.1. We may collect and process personal information necessary to arrange and administer travel bookings.

22.2. Information may need to be shared with airlines, hotels, tour operators, visa authorities, insurers, transport companies and other relevant suppliers where necessary to provide the requested services.

22.3. Personal information will be processed in accordance with applicable data-protection legislation and our Privacy Policy.


23. FINANCIAL PROTECTION

23.1. Where applicable, the Agency will comply with the financial-protection requirements relevant to the travel services it sells or organises.

23.2. Where another form of financial protection applies, the relevant information will be provided to the Client.


24. LIABILITY

24.1. Nothing in these Terms & Conditions excludes or limits any liability or consumer right that cannot legally be excluded or limited.

24.2. Where the Agency acts as an agent for another travel company, the terms and conditions of that supplier or organiser may also apply.

24.3. Where the Agency is legally responsible for the proper performance of a package, the Agency will comply with its obligations under applicable law.


25. THIRD-PARTY SUPPLIERS

Travel services may be provided by independent third parties, including airlines, hotels, tour operators, transport companies and excursion providers.

The Client agrees that the relevant supplier's terms may apply to those services.

The Agency will assist the Client with communication and administration where reasonably possible.


26. REFUNDS

26.1. Refunds will be made only where a refund is due under the applicable booking conditions, supplier terms or applicable law.

26.2. Refund processing may take time where the Agency must first receive funds from an airline, hotel, tour operator or other supplier.

26.3. Refunds will normally be made to the original payment method unless otherwise agreed.

26.4. The Client may be required to provide reasonable information or documentation before a refund is processed.


27. ADMINISTRATION CHARGES

Where permitted by applicable law, the Agency may charge reasonable administration fees for certain services, including amendments, cancellations, visa assistance and other administrative work.

Any applicable fee will be communicated to the Client before the service is provided or as otherwise required by law.

For an eligible tour-package refund following an official visa refusal, the agreed administration/service charge is: £50.00


28. FINANCIAL TRANSACTIONS

The Client should ensure that payments are made only to the official payment account or payment method provided by the Agency.

The Agency will not be responsible for payments made to unauthorised persons or accounts that have not been provided by the Agency.

Clients should contact the Agency if they are unsure about any payment request.


29. GOVERNING LAW

These Terms & Conditions are governed by the laws applicable to the Agency and the relevant booking, subject to any mandatory consumer protections applicable to the Client.

Nothing in these Terms & Conditions removes or restricts any legal rights that cannot lawfully be excluded.


30. ACCEPTANCE OF TERMS

By making a booking or payment, the Client confirms that:

  • They have read and understood these Terms & Conditions
  • The information provided to the Agency is accurate
  • They understand the payment requirements
  • They understand that visa approval is not guaranteed
  • They understand the visa-refusal refund provisions
  • They understand that a £50 administration/service charge may apply to an eligible visa-refusal refund
  • They understand that supplier terms may apply to their booking and
  • They agree to comply with these Terms & Conditions.
